The Challenge

The client operated a large-scale open-cut mining operation with a fleet of heavy equipment including haul trucks, excavators, dozers, and processing plant machinery—all managed through MEX, an industry-standard maintenance management system.

Finance and procurement teams relied on disconnected spreadsheets and a legacy accounting system with no integration to maintenance workflows, causing delays in purchase requisition processing, duplicate data entry across systems, and lack of real-time visibility into maintenance-driven expenditure.

Equipment downtime directly impacted ore extraction volumes, making fast and accurate procurement of spare parts and maintenance consumables critical to profitability. Data integrity was a major concern—historical data from the legacy system needed to be migrated accurately, and the client required evidence-based sign-off on every data entity before going live.

Our Approach

  • We followed a structured implementation methodology beginning with a detailed discovery phase to map existing maintenance-to-finance workflows, procurement approval hierarchies, and reporting requirements.
  • A key focus was the integration architecture between MEX and Business Central. We designed a bidirectional integration layer using MEX’s OData API and Business Central’s REST API, with a middleware component handling data transformation, error management, and logging.
  • Data migration was executed using a rigorous 8-step methodology with formal sign-off gates at each stage, including row-count reconciliation, field-level spot checks, and Trial Balance verification.

Solution Delivered

  • Finance & Accounting: General Ledger, Chart of Accounts, and Financial Dimensions configured for multi-cost-centre reporting aligned to mine sites and equipment categories. Accounts Payable with 3-way matching (PO → Receipt → Invoice), payment proposal automation, and vendor approval workflows. Accounts Receivable for ore sales revenue with automated aging and dunning. Fixed Assets register with depreciation schedules aligned to mining equipment lifecycle.
  • Procurement & Inventory: Purchase Requisitions originating from MEX work orders, automatically creating Purchase Orders in Business Central. Item Master synchronization between MEX and BC ensuring consistent part numbers, descriptions, and costing. Inventory management with location-level tracking across main warehouse, workshop stores, and field locations.
  • MEX Integration: Bidirectional sync of Customer, Vendor, and Item master data. Automated Purchase Requisition → Purchase Order → Purchase Invoice flow from maintenance work orders. Financial postings flowing back to MEX for cost visibility against assets and work orders. Error handling with retry mechanisms, logging dashboard, and exception alerting.
  • Go-Live: Post-migration Data Verification sessions with entity-by-entity reconciliation against source files. Configuration Delta Checklist comparing all UAT setup changes against Production environment. Zero Tolerance Policy for go-live gates ensuring no unresolved critical issues at cutover.
